setting up for your big day
Because of how busy Kingscote Barn are with weddings, it's so important that your caterer offers as much support & advice on the setting up of your big day.
At Strawberry Fields we offer a complimentary table dressing service on the day of your event, however we also will help do far more besides.
This page is all about the setting up to your wedding, here Lee answers questions about how we can help take away the stress of trying to get everything ready.
If there isn't a Wedding at Kingscote will you set up for us on the day before ours?
If there isn't an event and we can set up the day before it makes everyone's life easier. It is a little dependant on our diary and other events we may be managing but generally we will always try to set up the day before if we can. Whether you are having a Civil or Church Ceremony we will come to the barn to prepare as much as we can.
What time will Strawberry Fields be on site on the day of our event?
We normally aim to be at Kingscote between 2-2.5 hours before either your ceremony or your planned arrival from church. This time will depend on a few factors (i.e. numbers & type of menu). If we have been able to set up the day before we still aim to arrive 2 hours before.
If set-up is on the day, what can we leave for Strawberry Fields to do?
Kingscote standardly allow couples access on the day from 10am. Most couples will want to do a lot of the venue decoration themselves, leaving us the table decorations for when we lay the tables. I also highly recommend speaking to florists regarding venue decoration. Bijoux Floral Design & The Rose Shed (Florists on recommendation page) offer venue dressing services so can take some of the stress away on the day. I also recommend speaking to a supplier like 'The Little Wedding Helper' who can also help with dressing the venue. Of course I am always happy to help, so if you need me to help with getting things ready just give me some notice so I allow the time.
Who sets up our cake?
This will depend on firstly if you are having a Civil Ceremony and secondly who is supplying the cake. If you are having a Civil Ceremony then the cake can not be set up in the main barn until the ceremony has finished. If this is the case normally the cake will be delivered and left in the kitchen and I set it up for you (unless someone requests to do it). Also who is supplying the cake will effect who is setting it up. A lot of professional cake makers like to set their own cakes up, if this is the case we would discuss the best time for them to arrive. Don't forget Strawberry Fields have a number of cake stands for you to use FREE OF CHARGE, so if you need one then just let me know.
How do we tell you what needs setting up?
The best way to give me instructions on what you need us to do is to write them down. I always say you 'you won't offend us' on what you tell us to do, some may be basic standard things, but other things may be new. The main point is that we can follow them and get everything done just as you want it. We will arrange everything on the tables when we set them up and you can be as detailed as you like with your instructions. Some people will give photo's of mocked up tables, others will want guests sat in certain seats around a table. All this is fine, I just want it to be right first time. I will also always show you the main barn set up before your guests are invited to take their seats so any questions can be addressed at that point.
Where do we drop everything off at Kingscote?
I always recommend if you are having a civil ceremony that all table decorations are dropped off to the kitchen at Kingscote. If your having a church wedding then either the kitchen or the main barn is fine.
If we're having a Civil Ceremony in the Main Barn, how long will it take to rearrange for the Wedding Breakfast?
We standardly need 1.75 hours in order to lay all the table and dress the room, please bear in mind whilst were doing this we are also looking after your guests with drinks and possibly canapes.
